Terms of Service

DeskReview supports careful manuscript assessment. It does not replace human judgment, independent peer review, or professional advice.

Important: AI-generated and automated results can be incomplete or wrong. Check every material finding, quotation, count, citation, and recommendation against the original manuscript before relying on or sharing it.

1. Who provides DeskReview

These Terms form an agreement between you and DeskReviewAI, a Dutch sole proprietorship registered in the Netherlands under KVK number 99821966 and vestigingsnummer 000064868079 (“DeskReview”, “we”, “us”). 2. Accepting these Terms

By using the DeskReview website, hosted analysis service, paid features, or DeskReview Local, you agree to these Terms and the Privacy Policy. If you use DeskReview for an organization, you confirm that you are authorized to bind that organization. If you do not agree, do not use the service.

You must be at least 18 years old or otherwise legally able to enter into this agreement. Mandatory rights that apply to you, including mandatory consumer rights, are not displaced by these Terms.

3. The service

DeskReview provides tools for reading manuscripts, extracting and checking manuscript information, matching reporting guidance, checking scholarly metadata, taking notes, and creating AI-assisted review questions and reports. Some web features are free; paid features and their price are shown before purchase. DeskReview Local is an early-access desktop app that uses an on-device model.

Features may be experimental, may differ between the web and desktop products, and may change as the service develops. An “AI review” is a product label, not a claim that the output is peer review by a qualified human.

4. Your manuscripts and permission to process them

You retain ownership of manuscripts, figures, tables, notes, and other material you submit. You must have the right to upload and process that material, including permission required by an author, publisher, employer, research institution, confidentiality agreement, data-protection law, or ethics obligation.

You grant DeskReview a limited, non-exclusive license to host, copy, transmit, parse, extract, and otherwise process submitted material only as needed to provide, secure, support, and troubleshoot the service you request. The license ends when that processing and the limited retention described in the Privacy Policy end, except where a longer period is legally required.

Do not upload identifiable participant data, special-category personal data, trade secrets, embargoed material, or other highly sensitive content unless you have determined that using the applicable DeskReview workflow and providers is lawful and appropriate.

5. Results and human responsibility

DeskReview results are informational aids. They do not constitute peer review, editorial acceptance or rejection, medical or legal advice, research-integrity findings, plagiarism findings, or a guarantee of reporting-guideline or journal compliance.

  • You remain responsible for checking results against the source and correcting errors.
  • You remain responsible for authorship, editorial, submission, clinical, ethical, and research decisions.
  • Counts, formatted text, affiliations, references, links, guideline matches, and AI-generated assessments may be missing, ambiguous, or incorrect.
  • Comparable-research search is bounded and is not a systematic review or guarantee of novelty, priority, or literature completeness.
  • Registry and retraction-relation checks depend on third-party metadata and are not a substitute for investigating the original sources.

6. Saved reviews and your copies

The web app stores your saved review library in browser storage on your device, not in a DeskReview user account. Clearing site data, using a private browsing session, changing browser profiles, or losing the device can remove it. You are responsible for downloading or backing up anything you need to retain. DeskReview cannot recover a locally stored review.

7. AI, hosting, payment, and scholarly services

The hosted web service relies on service providers including Netlify, Mistral AI, and Stripe. Reference, author, and optional comparable-research features may query services such as Crossref, OpenAlex, PubMed, and Semantic Scholar. External links can open third-party sites. Their availability, data, and terms are outside DeskReview's control.

For current details about what is transmitted, Zero Data Retention, local storage, cookies, and temporary jobs, read the Privacy Policy. You must not attempt to bypass provider limits or use DeskReview in a way that violates applicable third-party terms.

8. Fees, payment, and access

Prices, included features, taxes, and whether a payment is one-off or recurring are shown before checkout. Unless the checkout clearly says otherwise, the current individual web purchase is a one-off payment for the stated review access and is not a subscription. Payments are processed by Stripe.

A paid entitlement is associated with a cryptographic hash of the manuscript and the browser access cookie issued after checkout. It is not a transferable account credit. Do not manipulate the cookie, checkout session, document identifier, or service requests to obtain unpaid access.

If a paid feature is not supplied as promised, contact contact@deskreview.ai so we can investigate and provide any remedy required by law.

9. Consumer cancellation and refunds

If you are an EU consumer, you generally have a 14-day right to withdraw from a distance contract. For a service or digital content that you ask to start immediately, that right may change only where the legal conditions—including any required express request, consent, or acknowledgement—have been met. These Terms alone are not a waiver of your withdrawal right.

Nothing here limits remedies or refund rights that cannot lawfully be excluded, including rights relating to faulty, misdescribed, or undelivered digital services. To ask about withdrawal, cancellation, or a payment problem, email contact@deskreview.ai with enough information to identify the transaction.

You may use this optional model wording: “I notify DeskReviewAI that I withdraw from my contract for [service], ordered on [date]. My name is [name] and the email used for the purchase is [email].” Add the date you send it. Do not attach the manuscript.

10. DeskReview Local license and early access

Subject to these Terms, DeskReview grants you a limited, revocable, non-exclusive, non-transferable license to install and use DeskReview Local for your own personal or internal professional manuscript-review work. You may not sell, sublicense, redistribute, or offer the app or bundled model as a competing hosted service. Rights granted by mandatory law and applicable open-source licenses remain unaffected.

DeskReview Local is early-access software. Hardware requirements, model size, supported platforms, signing or notarization status, and known installation steps are described on the download page. You are responsible for verifying the installer source, maintaining device security, and keeping your own backups. Local processing reduces cloud exposure but does not make every use lawful or eliminate risks in the manuscript itself.

11. Acceptable use

You must not:

  • use DeskReview unlawfully or infringe privacy, confidentiality, intellectual-property, contractual, or other third-party rights;
  • upload malware or content intended to disrupt, probe, overload, or gain unauthorized access to the service;
  • circumvent access controls, payment controls, usage limits, or security measures;
  • misrepresent AI output as an independent human review or use it to deceive an author, editor, reviewer, or institution;
  • reverse engineer or extract proprietary service components except where applicable law expressly permits it; or
  • use DeskReview to make unlawful high-impact decisions about a person.

We may limit or suspend access where reasonably necessary to protect the service, providers, users, or third parties, investigate misuse, or comply with law.

12. Intellectual property and report use

DeskReview and its licensors retain rights in the software, interface, branding, prompts, schemas, templates, and other service materials. These Terms do not transfer those rights to you.

Subject to your rights in the manuscript and any third-party rights, you may use, edit, download, and share a generated report for your own scholarly, editorial, or internal professional purposes. Because outputs may reproduce manuscript material or public metadata, you are responsible for respecting confidentiality, copyright, attribution, and other rights when sharing them. DeskReview does not promise that AI-generated wording is unique or eligible for intellectual-property protection.

13. Availability, updates, and support

We aim to keep DeskReview useful and available but do not promise uninterrupted access, permanent availability of a feature, or compatibility with every PDF, browser, Mac, journal, or provider. We may maintain, fix, change, limit, or discontinue features and may update the desktop app or its model. We will not materially reduce already purchased access without providing any remedy required by law.

14. Disclaimers

To the extent permitted by law, DeskReview is provided “as is” and “as available”, without warranties that results will be accurate, complete, current, fit for a particular purpose, non-infringing, or accepted by a journal, editor, reviewer, regulator, funder, or institution. Any statutory warranty or conformity right that cannot be excluded remains in force.

15. Liability

To the extent permitted by law, DeskReviewAI is not liable for indirect or consequential loss, loss of opportunity, lost publication prospects, loss of data, or decisions made without appropriate human verification. For a paid consumer service, any limitation applies only to the extent it is fair and legally enforceable.

Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for fraud or deliberate misconduct, or any mandatory consumer remedy. You remain responsible for losses caused by your unlawful use, unauthorized submission of material, or violation of third-party rights.

16. Governing law and disputes

These Terms are governed by the laws of the Netherlands. Courts in the Netherlands have jurisdiction, except that a consumer keeps any mandatory protection and right to bring proceedings available under the law of the consumer's country of residence.

Please contact us first so we can try to resolve a concern informally. This does not restrict your right to use a competent court, regulator, or alternative dispute process available under mandatory law.

17. Changes to these Terms

We may update these Terms to reflect service, provider, or legal changes. The current version and date will be published here. Changes apply prospectively; terms that applied to a completed purchase remain subject to mandatory law and any commitments made at checkout.
